Create a Dynamic Gantt Chart in Excel Using Conditional Formatting

Kyle Pew

Gantt charts are a fantastic way to visualize project timelines. Did you know you can create a dynamic Gantt chart in Microsoft Excel using Conditional Formatting? This powerful feature allows your Gantt chart to automatically adjust based on task start and end dates, progress, and even highlight weekends. No VBA or complex formulas needed!

Why Use a Gantt Chart in Excel?

  • Easily track project timelines without expensive project management software.

  • Highlight task durations dynamically as project schedules change.

  • Monitor progress visually by marking completed tasks.

  • Identify current and overdue tasks at a glance.

How It Works

By applying Conditional Formatting rules, you can make your Gantt chart interactive and automatically update as you adjust your project schedule.

Conditional Formatting Rules Used:

  1. Highlight the Current Date:

    =J$4=TODAY()

    Marks today’s date with a special highlight.

  2. Highlight Task Durations:

    =AND($F6<=J$4, WORKDAY($F6-1,$H6)>=J$4)

    Shades cells between the task start and end dates.

  3. Highlight Weekends:

    =WEEKDAY(J$4,2)>5

    Shades weekends for better planning visibility.

  4. Highlight Completed Days:

    =AND($F6<=J$4, WORKDAY($F6-1,$I6)>=J$4)

    Indicates completed task days within the Gantt chart.
